Rental Policies


You will be given complete operating instructions and a comprehensive walk-thru at the time of departure taking approximately one – two hours to complete. We also have a video on our home page of RV Made Easy which we encourage you to spend the 13 minutes watching.

Minimum of 3-4 nights depending on the season. Long term packages are also available.

Pickup time is 2:00 PM

Return time is 10:00 AM

* Relaxed Return by 1pm can be purchased for $75.

Pickup time is 2pm.

An early pickup, between 9:30 and 11:30am, can be added for $49. (Subject to Availability)

We will call you the day before to schedule your exact pickup time. We don’t release vehicles after 3:30pm. 

 

Extending your vacation is possible, but not guaranteed. You must ask permission prior to our return date and the additional nights must be paid for (usually by the credit card on file) before the extension is effective.

Any unauthorized returns will be considered late and charged accordingly. To assure compliance, it is necessary for us to assess a late fee of two full days at daily rates for each day the vehicle is late.

For all rentals, a $1500 security deposit is required & will be authorized to your credit card 1-3 days prior to your scheduled leaving date. Security deposits will be released within 14 days of the return date, billing the card for adjustments such as, but not limited to damage, gasoline, mileage and generator use.

Full payment of estimated charges is due three weeks prior the pickup date. Additional charges for excess miles, (credit for unused miles), extra cleaning, fuel, generator use, or repair / damage deemed the responsibility of the renter will be calculated upon return. All charges in excess of the security deposit will be the responsibility of the renter and are due immediately.

$500 for all motorhomes and trailers to be charged immediately to make a reservation. Balance due to be paid 3 weeks before unit leaves. Renter must possess valid Driver’s license and Credit Card.

Payable by personal check, cash, or certified check and wire transfer 3 weeks prior to pick up date.

21 days OR more prior to pick up, down payments will be forfeited OR can be rolled over to a future reservation within 12 months.

20 days OR less prior to pickup, forfeiture of total charges.

Proper identification, a valid driver’s license, current insurance card from your car and a valid Credit Card must be presented before leaving with a vehicle.

No more than one minor traffic violation or at-fault accident and NO major violations (Reckless Driving, Hit and Run, Driving while under the Influence of drugs or alcohol), in the past 3 years.

Any violation will result in a penalty of $250 plus actual charges for deep cleaning or repairing of the rental unit. Towing and pets are permitted in certain RV’s. An additional fee will be charged for pets.

Rental vehicles are not permitted into Mexico.

Rentals have a $1,500 Collision Damage Waiver, this reduces the renter’s liability from the full value of the RV.

If you purchase CDW, we waive our right to collect from you a portion of Physical Damage to the Vehicle. We will not waive this right if damage to the Vehicle: (a) is caused by anyone who is not an Authorized Driver; (b) is caused by a Vehicle driver under the influence of any drug or alcohol; (c) is caused by anyone who obtained use of the Vehicle or extended the rental period by giving us false, fraudulent or misleading information; (d) occurs while the Vehicle is used during the commission of any crime, other than a minor traffic violation; (e) occurs while carrying persons or property for hire, while pushing or towing anything, during any race, speed test or contest, or, while teaching anyone to drive; (f) results from carrying dangerous or hazardous items or illegal material; (g) results from use of the Vehicle outside the United States or Canada, or outside any geographic limitations stated elsewhere in this agreement; (g1) is caused by driving on unpaved roads; (h) occurs while transporting more persons than the Vehicle has seat belts, while carrying persons outside the passenger compartment, or while transporting children without approved child safety seats as required by law; (i) occurs when the odometer has been tampered with or disconnected; (j) occurs when the Vehicle’s fluid levels are low, or it is otherwise reasonable to expect you to know that further operation would damage the Vehicle; (k) is caused by inadequately secured cargo; (l) is caused, by anyone who sits, lies or stands on the roof of the Vehicle; (n) results from your willful, wanton or reckless act or misconduct; and, (m) occurs and you fail to notify us and the police of any accident or vandalism causing damage to the Vehicle. The CDW limit applies to EACH accident separately not cumulatively.

You are responsible for all damage or loss you cause to others. You agree to provide auto liability, collision and comprehensive insurance covering you, us, and the Vehicle. Where State law requires us to provide auto liability insurance, or if you have no auto liability insurance, we provide auto liability insurance (the Policy) that is secondary to any other valid and collectible insurance, whether primary, secondary, excess or contingent. The Policy provide bodily injury and property damage liability coverage with limits no higher than minimum levels prescribed by the financial responsibility laws of the State whose laws apply to the loss. You and we reject PIP, medical payments, no-fault and uninsured and under-insured motorist coverage, where permitted by law. Coverage is void if you violate the terms of this Agreement or if you fail to cooperate in any loss investigation conducted by us, or our insurer. The Policy does not cover losses caused by drivers of the Vehicle who are not Authorized Drivers. You have the option to purchase RV Supplemental Liability Insurance. This is purchased online directly with an insurance company, not Rayewood RV Rentals. This will offer coverage of $300,000 liability insurance. Go to RVsli.com for full details. In the unlikely event of mechanical difficulties with your rental vehicle, we want to get you back on the road as quickly as possible. Our late model vehicles are covered under manufacturer’s warranty, so repairs are as simple as taking the unit to a Ford dealer for chassis problems or to a Forest River dealer for coach or trailer repairs. If breakdowns occur and repairs are needed, any repair up to $50.00 may be done. Any repairs $50.00 or over must have prior authorization from Rayewood RV Rentals. Please save and submit all receipts for repairs. Refunds will not be made without a receipt.

Seat belts are provided in various seats around the motor home. It is very important, both for your safety and to abide by state and federal laws, that they be worn whenever the vehicle is in motion and care should be taken when choosing small individuals (especially children) to occupy those seats.

You are not permitted to tow anything or use the hitch for a bike rack without permission.

Any excessive interior or exterior grim, stains, dirt, requiring deep cleaning will be billed hourly, at our standard shop rate, in addition to the prepaid cleaning fee.

As part of our service to you, upon the return of the vehicle the holding tanks will be dumped and rinsed with no additional charge to the renter.

The vehicles are released to you with the engine fuel and propane tanks full. The propane tanks will be filled at no charge to the renter as part of our service to you. For your convenience, if the fuel tank is not full upon return, you will be charged a fair rate per gallon for refueling.

Use of the 110V generator is available for $3.00 per hour. In lieu of the hourly rate, unlimited used can be obtained by prepaying $36.00 per day for the generator. The generator runs off of the motorhome’s premounted regular gasoline tank.

Be sure and watch for low hanging branches, canopies at gas stations and fast-food restaurants, and parking structures.

All vehicles have a weight limit established by the chassis manufacturer. You should always be careful not to exceed the GVWR (Gross Vehicle Weight Rating) of the vehicle. Traveling with full fuel, water, and waste tanks makes the vehicle quite heavy and cuts down on the carrying capacity of people, personal items food, and luggage. It also affects fuel economy. If you have any questions regarding weight, please consult our personnel or check the weight label.

It is important that you check the engine fluids every time you stop to refuel. If the vehicle needs any fluids, please add the proper amount. You will be reimbursed when you present us with the receipt upon your return. Driving with low fluid levels can cause engine damage for which you are totally responsible. It is important that you watch all gauges, driving the vehicle while it is overheated will cause engine damage. It is also vital that you check the generator oil level every 6-8 hours of operation. If the generator or the engine needs oil, you may use 30 wt or 10W30 oil, available at any service station.

If involved in an accident you must notify Rayewood RV Rentals within 24 hours. A full written police accident report must be submitted to our management upon your return. Failure to comply will result in the forfeiture of your security deposit.

In the unfortunate situation that there is damage to the rental unit when you return, we want you to know how those situations will be handled. Our goal is to be as up front and clear as possible so there are no surprises. We charge our standard shop labor rate. If you have ANY questions regarding this information, please do not hesitate to contact us.

An estimate / appraisal will be done to determine repair and replacement costs to the unit. We charge our standard shop labor rate.

Some repairs require outside service assistance. If we use an outside shop, you will be responsible for the transportation costs of the vehicle to and from the shop.

Any additional terms will be disclosed at the time the rental agreement is signed.
